4-57: SFCC Telecommuting Policy – Procedures

  1. All Employees.
    1. An employee who wishes to work remotely more frequently than casual, intermittent work or online instruction as stated in the policy must consult with a supervisor regarding whether they should obtain prior approvals.
    2. If the supervisor has any question about the advisability of obtaining approval the supervisor must contact the Office of Human Resources, the Office of Information Technology or both.
  2. Approval Procedure.
    1. An employee who wishes to work remotely shall obtain written approval from their supervisor and from the Office of Information Technology prior to beginning the remote work. The approvals may be by email exchange, hard copy or any other documentation that may be retained for later reference.
    2. The written supervisor approval, which may be an email exchange, a hard copy memorandum, or whatever other documentation the supervisor prefers, shall include:
      1. Specific times and days that the employee will work remotely,
      2. Specific, objectively verifiable performance expectations while working remotely
      3. An end date to the approval or a date when the employee and supervisor will reassess the appropriateness of continued remote work, and
      4. Notice that the supervisor’s approval is at their discretion and may be revoked at any time with or without reason.
    3. The Office of Information Technology written approval may be in any form determined by the Chief Information Officer or designee to be appropriate to meet the requirements of SFCC Policy 7-3 Information Security and other applicable technology policies. The Office of Information Technology approval shall account for the circumstances of the particular request, including:
      1. The type of work to be done,
      2. The data that the requesting employee expects to access,
      3. The remote location where the requesting employee will work, and
      4. Any software or hardware that security concerns indicate will be necessary.
  3. Financial Responsibility.
    1. The department that employs the requesting employee generally bears the cost of any hardware or software necessary for the remote work.
