In alignment with the budget planning cycle, OIT will generate a report of all equipment covered under Policy 7-2. This report will identify equipment that meets the renewal or replacement criteria outlined in the Policy Statement. The list will be presented to the Technology Advisory Committee (TAC).
If funding is limited, OIT will provide a recommendation for replacement priorities. TAC may approve this list or suggest changes. Once approved OIT will incorporate the associated costs into the upcoming year’s budget request. OIT will present funded hardware projects as part of regular TAC agendas.
Standard Hardware Guidelines
Employees
- Each employee is assigned a single primary computer (desktop, laptop, or equivalent) unless additional systems are approved by the employee’s Vice President and the CIO.
- Standard employee computers are Windows-based; Apple systems or specialized devices may be issued based on job requirements, with approval and potential departmental funding.
- Systems will be configured to meet current institutional standards for performance, reliability, and security.
- Standard configuration includes two monitors and, if a laptop is issued, one docking station.
- Any non-standard requests require approval by the Vice President and CIO.
- Remote and hybrid employees are issued the same standard configuration. If a monitor or docking station is taken home, no additional unit will be provided for the on-campus office.
Classrooms and Labs
- Standard systems for classrooms and labs will be maintained according to current institutional hardware and software standards.
- Specialized configurations (e.g., engineering, media production, or design labs) will be deployed based on instructional requirements.
- Thin clients or alternative technologies may be used where appropriate.
- All non-standard requests require approval by the Vice President and CIO.

Exceptions
Any exceptions to these procedures must be formally documented and approved in advance by the employee’s Vice President and the CIO.

- Specifications (e.g., processor type, memory, storage, and display) are updated regularly to reflect current technology standards and available funding.
- OIT will ensure that all purchases balance cost-effectiveness, performance, and lifecycle management.
